In addition, the person should be able to assist their department in moving the district’s initiatives forward. The program coordinator must demonstrate a commitment to ongoing involvement in staff development and other professional development opportunities, as well as support school and district improvement efforts.

The Hilton Central School District has a vacancy for a Secretary to the Director of K-12 Learning. This is a 12-month position, Monday-Friday, 7.5 hours per day.

The Secretary to the Director of K–12 Learning & Staff Development provides high-level administrative, clerical, and operational support to the Director and instructional leadership team. This role coordinates professional learning systems and communications, manages schedules and department logistics, supports state and federal compliance and reporting, and assists with budget, purchasing, and grant-funded initiatives. The position requires exceptional attention to detail, discretion, strong technology skills, and the ability to manage multiple priorities in a fast-paced educational environment. 

 

Key Responsibilities

Administer the district’s professional learning platform(s) as assigned (e.g., course/catalog creation, enrollments, instructor communications, stipend/compensation processing, and reporting). 

Maintain accurate records and trackers related to professional learning participation, compensation, and compliance.

Track and support documentation for probationary teacher requirements and timelines.  

Serve as a primary point of contact for the Director of K–12 Learning & Staff Development, responding to inquiries from staff, families, presenters, and external partners. 

Create and maintain spreadsheets, trackers, and digital workflows to support department operations, deadlines, and compliance requirements. 

Support preparation of state and federal reporting materials as assigned. 

Support planning and logistics for professional learning sessions, workshops, Superintendent’s Conference Days, and other district instructional events. 

Coordinate and support BOCES processes and service coordination as needed. 

Coordinate translation/interpretation service requests and assist with NYSESLAT-related communications, scheduling, and testing logistics, as assigned. 

Manage office supplies, instructional resources, and materials distribution for the K–12 Learning & Staff Development department and the programs it oversees. 

Process purchase orders and requisitions; track budgets and expenditures; and maintain accurate documentation for department purchasing and budget tracking within the district’s financial system 

Provide support for grant-funded and Title-funded purchasing processes as assigned. 

Maintain confidentiality and ensure compliance with district policies, collective bargaining agreements, FERPA, and applicable state and federal regulations. 

Manage the Director’s calendar and daily logistics.  

Prepare and distribute correspondence, reports, presentations, forms, and instructional communications.  

Organize and maintain confidential electronic and physical records.  

This position requires an Office Clerk Civil Service title (II, III, or IV), therefore only those candidates who are currently working in one of these Office Clerk titles, whose name appears on the current Civil Service eligible lists, or who meet the minimum qualifications for provisional appointment, will be considered.
