Job Description

The Hilton Central School District has an anticipated vacancy for an Administrative Assistant in the Office of Instruction.  This is a 12 month, 8 hour/day position.  The selected candidate will provide high-level administrative support to the Assistant Superintendent for Instruction, ensuring smooth operations of the instructional office. Requires strong organization, communication, confidentiality, and the ability to manage multiple priorities in a fast-paced school district environment. This position requires the Civil Service title of Office Account Clerk, therefore only those candidates who are currently working in this title, or meet minimum qualifications for Provisional Appointment* will be considered.

Key Responsibilities

Manage calendars, meetings, appointments, travel, and event logistics.

Prepare and format correspondence, reports, presentations, agendas, and minutes.

Maintain digital and physical filing systems, databases, purchase orders, requisitions, and time/attendance records.

Coordinate professional development, workshops, instructional events, and district initiatives.

Assist with data collection, recordkeeping, and documentation for instructional programs, including Home Instruction, Title Grants, and state reporting.

Support budget and grant preparation and monitor approved funding.

Compile data and materials for Board of Education reports, annual instructional reports, and curriculum submissions.

Serve as a liaison with staff, families, BOCES, community partners, and private/parochial schools.

Provide guidance to clerical staff and support committees, task forces, and special projects.

Perform other duties as assigned.

Prior administrative/office support experience.

MINIMUM QUALIFICATIONS:  Graduation from high school or possession of an equivalency diploma plus EITHER:
(A) Successful completion of twenty-four (24) semester credit hours, including six (6) semester credit hours in Accounting from a regionally accredited or New York State registered college or university*; OR, (B) One (1) year of full-time or its part-time equivalent experience in the maintenance of financial accounts and records; OR, (C) An equivalent combination of education and experience as defined by the limits of (A) and (B).
*The term provisional means that you will be required to take the next Civil Service examination for this title, and place among the top three (3) candidates on the examination list in order to be eligible for permanent appointment.
