The Hilton Central School District has a vacancy for an Administrative Assistant to the Superintendent.
This is a 12-month, 8-hours per day position.
Job Responsibilities:
Create a welcoming and affirming environment by putting members of the learning community and Superintendent as their priority.
Demonstrate integrity on a daily basis.
Perform various secretarial and clerical duties with minimal direction.
Prepare a variety of letters, memos and reports from self-composition, general notes, computer drafts and/or verbal instruction, using relevant software applications.
Assist the Superintendent and administrators through the preparation, organization, maintenance and distribution of a variety of financial, statistical, and verbal reports.
Make arrangements for appointments, conferences, meetings, workshops and travel involving the Superintendent, and handle calendar management accordingly.
Respond to incoming telephone calls requesting District information, including responding to inquiries on procedures, taking messages for office staff, and serving as a liaison for other buildings and departments as required.
Update and maintain designated files, attendance, and time records for the Superintendent’s office.
Create, update, upload, and maintain confidential files.
Collaborates with administrators and other staff and to respond to FOIL requests.
Coordinate with vendors and outside groups who conduct business within the District.
Attend meetings and keep accurate meeting minutes.
Coordinate and schedule a wide variety of activities, meetings, and projects for the Superintendent and other administrators.
Provide excellent customer service to parents, students, staff, and visitors via in-person, phone, and electronic communications.
Act as a Notary for District staff and community members.
Perform other related duties as may be required by the Superintendent of Schools.
**This position may also be required to serve as the Board Clerk and handle all duties accordingly. Board Clerk duties include attendance at evening meetings conducted by the Board of Education, as well as other duties to support the Board of Education. Specifics will be discussed at interviews.
Experience:
At least five years of experience performing high level clerical duties in an administrative assistant role, including at least two years in a public school setting. Prior experience within the Hilton Central School District preferred, but not required. Must also pass fingerprint clearance through the New York State Department of Education, and meet requirements set forth by Monroe County Civil Service. Candidate must possess and maintain a Notary Public license, or obtain after appointment.

Knowledge/Skills:
Knowledge of computer skills including relevant software applications
